Learn how to upload and manage recipient information via Excel or CSV, and understand how updates affect your account and individual campaigns.
You can upload recipient information to your Sertifier account or directly to a credential campaign using Excel or CSV files. Depending on your goal, you can choose the upload method that best fits your needs. This guide explains the different options for managing and updating recipient information when uploading files.
Section 1: Uploading Recipients to Your Account
When you upload recipients to your account, you are updating the master recipient list. This allows you to manage attributes and default settings that apply across multiple campaigns.
What Happens if a Recipient Email Already Exists?
Updates Recipient Information | Updates Previous Credentials
Keep everything as it is | - | - |
Update all attributes | + | + |
Set defaults for the future (do not change now) | + | - |
- Keep everything as it is
- Example: You upload john@sertifier.com with Course Title = Sertifier Expert. The attribute in the system remains as Sertifier Usage 101 and does not change.
- Update custom attributes only
- Example: You change john@sertifier.com’s Course Title from Sertifier Usage 101 to Sertifier Expert. All past, current, and future credentials linked to this email now show Sertifier Expert. System attributes like Issue Date or Expiry Date remain unchanged.
- Set defaults for the future (do not change now)
- Example: You upload john@sertifier.com with Course Title = Sertifier Expert. Current attributes stay the same. For future credentials, Course Title will auto-fill as Sertifier Expert if the field is left blank.
Section 2: Uploading Recipients to a Credential Campaign
When uploading recipients directly to a campaign, you can control how the new information affects that specific campaign and whether it impacts other campaigns.
Options for Existing Recipient Emails
Updates Recipient Information | Updates Previous Credentials | Updates Campaign Credential | Creates New Credential
Keep everything as it is | - | - | - | - |
Update everywhere (dates only for this campaign) | + | + | + | - |
Update this campaign only | - | - | + | - |
Update this campaign + set defaults for future | + | - | + | - |
Create a new copy for this campaign | - | - | - | + |
Create a new copy + use details for future | + | - | - | + |
- Keep everything as it is
- Example: You upload john@sertifier.com with Course Title = Sertifier Expert. Nothing changes. All past, current, and future credentials still show Sertifier Usage 101.
- Update everywhere (dates only for this campaign)
- Example: You change john@sertifier.com’s name to Jane Doe. All past, current, and future credentials now show Jane Doe. If you upload a new Issue Date or Expiry Date, that date only updates for this campaign.
- Update this campaign only
- Example: You upload john@sertifier.com with Course Title = Sertifier Expert. Only the credential in this campaign updates. All other campaigns stay as Sertifier Usage 101.
- Update this campaign + set defaults for future
- Example: You upload john@sertifier.com with Course Title = Sertifier Expert. This campaign updates now. In future campaigns, Course Title will auto-fill as Sertifier Expert only if left blank.
- Create a new copy for this campaign
- Example: You upload john@sertifier.com with Course Title = Sertifier Expert and Expiry Date = 01.01.2026. All old credentials remain unchanged. A new credential is created for this campaign with the new Course Title and Expiry Date.
- Create a new copy + use details for future
- Example: You upload john@sertifier.com with Course Title = Sertifier Expert and Expiry Date = 01.01.2026. Old credentials remain unchanged. A new credential is created for this campaign, and these details will also be used by default in future campaigns.
When uploading recipients via Excel or CSV, it’s important to select the right upload method based on your goal:
-
Account Upload: Manage attributes and defaults for all campaigns.
-
Campaign Upload: Control updates for a specific campaign, with options to preserve, update, or create new credentials.
Choosing the correct option ensures your recipient data is accurate and consistent across your campaigns.
